CANCELLATION POLICY

If Plans Change… 


Once you have paid your deposit for an RTS Impact Trip, our staff immediately starts planning for your journey and your trip fees go to work well in advance of the team’s arrival.   

 

Should you need to cancel your trip, please consult the following refund policy:  

 

Non-Refundable Deposit  

A non-refundable $500 deposit is due immediately upon booking your dates to hold them. Upon cancellation at any time, RTS retains the full amount of the non-refundable deposit.  If we can reschedule your trip within one year, we will apply the deposit to the new date. If RTS Missions deems it necessary to cancel your trip for any reason outside of “force majeure” (see below) we will refund your deposit to you, or you may elect to apply to a trip within the year. 

 

Upon cancellation 8 weeks or more prior to departure, you will receive a 60% refund of any trip fees paid in excess of the non-refundable deposit amount. 

 

Upon cancellation between 8 and 4 weeks prior to the trip, you will receive a 30% refund of any trip fees paid in excess of the non-refundable deposit amount.  

 

Upon cancellation less than 4 weeks from date of departure, we cannot provide any refunds for trip fees paid over the non-refundable deposit amount.  

 

“Prime Time” Refunds  

Our most popular times for mission trips typically occur during popular vacation times. We refer to these times as “Prime Time.”  These times include the Spring break months of March and April, the summer months of June, July, and August, the Thanksgiving break in November, and the Christmas season (trips overlapping with the last week of December and first week of January). Because your booking and subsequent cancellation in most cases will prevent us from being able to send another team on mission in these slots, a lesser refund will be given for Prime-Time trip cancellations in the amount of 25% of any trip fees paid in excess of the non-refundable deposit amount if cancelled before 4 weeks from trip date.   


Cancellation because of unforeseen circumstances 

We may cancel departures if forced to do so by unforeseen circumstances such as war, civil unrest, pandemics/disease outbreaks (i.e. Ebola, Zika, Covid, etc.), catastrophic events such as hurricanes, earthquakes, etc. - things beyond our control that are commonly referred to as "force majeure." 

 

If “force majeure” cancellation takes place more than 12 weeks prior to the departure date 

In these instances, we will offer a 100% refund of deposit and all payments if cancellation takes place more than 12 weeks prior to the departure date. You can also choose to transfer payments to another trip date that is available (time limits may apply). 

 

If “force majeure” cancellation occurs within the 12 week period 

If cancellation occurs due to such unforeseen circumstances as those listed above, we will provide a 60% refund of funds paid. As such, we strongly recommend that all travelers purchase travel insurance, as most comprehensive cancellation and interruption policies include provisions that protect you from losses incurred for such perils (among others).

We value your donation as a sacred trust and are committed to good stewardship of the funds entrusted to us by our friends and donors. All gift options represent RTS' actual ministry efforts to meet the diverse needs of individuals and communities. Regardless of particular designations, monies are raised for ministry purposes, and RTS retains discretion to use donated funds in any manner that serves RTS' charitable objectives.
